Eurogear Inc. (“we” or “the Company”) has established this Privacy Policy in the belief that handling our guests' personal information appropriately is a fundamental responsibility in operating the private rental villa Nagine.

1. Scope of this Policy

This Policy applies to the information we collect through this website and through its booking form, contact form and guest-only pages.

2. Information we collect

We collect the following information. Some of it you enter yourself; some is recorded automatically as you use the site.

  • When booking (required): your name (family and given name), email address, telephone number, and country or region of residence
  • When booking (optional): postal code, address, and any requests or questions
  • When contacting us: your name (in Japanese and in Latin characters), email address, telephone number (optional), enquiry type, intended timing, subject and message
  • Information arising from your booking: stay dates, number of guests, booking reference and payment status
  • Recorded automatically as you use the site: a converted form of your IP address (we do not store the original), a summary of browser information, and values stored in cookies

3. How we use it

We use the information we collect for the following purposes.

  • Accepting and confirming bookings, and communicating booking details
  • Processing payment and billing for accommodation charges
  • Providing information about your stay (check-in, how to use the villa, and contact during your stay)
  • Responding to enquiries and keeping a record of them
  • Preventing duplicate submissions, unauthorised access and abusive use
  • Sending information and conducting surveys to improve our service
  • Complying with laws and protecting our rights and property where necessary
  • Understanding how the site is used and improving the service (analytics)

If we ever need to use your information beyond these purposes, we will obtain your consent in advance.

4. Information we do not store

We treat “not holding what we do not need” as the foundation of our security. The following is never stored in our database.

  • The optional postal code, address and requests you enter when booking: these are passed to our booking management system only, and are not recorded in our database.
  • Card number, expiry date and security code: you enter these directly on our payment provider's screen, so we never receive them. We hold only the identifiers issued by the payment provider, the card brand and the last four digits.
  • Your conversations with the AI concierge: neither your questions nor its answers are stored (see “The AI concierge” below).

5. Cookies

We use cookies only as far as they are needed to provide the service. They are as follows.

Booking in progress
Used to release the dates we were holding for you promptly if you leave the payment screen partway through. Valid for 35 minutes.
Analytics
We use Google Analytics 4 via Google Tag Manager to understand how the site is used. The cookies it sets last up to two years. The reports do not include information that identifies you, such as your name or email address. We do not use them to build advertising profiles.
Administrator sign-in
Used to keep our staff signed in to the admin screens. Valid for 8 hours. It is not issued to guests.

The booking-in-progress and administrator cookies are set so that they cannot be read by scripts running in the browser. Analytics cookies can be read by scripts, because they need to keep an identifier in the browser for measurement. Separately, your browser's storage may temporarily hold values that do not identify you, such as the dates and number of guests you last searched for.

We use analytics only to improve the site and understand the booking journey. We do not deliver advertising based on your browsing history, and we do not display a consent banner. If you disable cookies in your browser, analytics cookies will not be stored.

6. Sharing and outsourcing

We do not disclose your personal information to third parties except in the following cases.

  • Where you have given your consent
  • Where required by law, or where necessary to protect someone's life, safety or property and obtaining consent is difficult
  • Where we must cooperate with a public authority carrying out its statutory duties

We also outsource part of our operations as far as needed to fulfil the purposes above — booking management, payment processing, email delivery, server and database operation, AI answer generation, and analytics of how the site is used. We restrict how our providers may handle the data by contract, and supervise them appropriately.

7. Handling outside Japan

Some of the providers described above are located outside Japan, so your information may be handled on servers outside Japan. We confirm that such providers have appropriate safeguards in place before entrusting data to them.

8. Embedded third-party services

Some pages embed a map service. When that part of the page loads, your IP address and browser information are sent directly to the provider of that service. How they handle it is governed by their own policy.

9. The AI concierge

Our guest-only pages offer an AI concierge that answers questions about your stay. It works as follows.

  • The conversation — both your questions and the answers — is not stored in our database, in files or in logs.
  • To generate an answer, the question you type is sent to an external AI service and to a map information service.
  • We do not pass your name, email address or telephone number to the AI. It can refer only to information about the villa and to basic details of your stay, such as the dates and the number of guests.

Because your question is sent to external services as described, please do not enter sensitive information, or personal details that are not needed for an answer.

10. Security measures and retention

We take the following measures to prevent the loss, alteration or leakage of the information we hold.

  • Encryption of communications
  • Limiting who may handle the information, and keeping records of their actions
  • Converting IP addresses recorded for abuse prevention into a form that cannot be reversed
  • Never storing authentication credentials or key information in their original form

We keep the information for as long as needed to fulfil the purposes above, and for any period required by law. Once it is no longer needed, we delete it without undue delay or render it non-identifying.

11. Your rights and how to contact us

You may ask us to tell you how we use your personal information, to disclose it, to correct, add to or delete it, to stop using or erase it, or to stop sharing it with third parties. Please contact us below. We will verify your identity and respond in accordance with the law.
